Position Summary
In this role the incumbent will provide support and assistance to the Manager and Building Staff with a variety of administrative items and division-related matters. They will also assist the Administration Assistant and other Divisional Staff as assigned.
Qualifications, Knowledge, and Skills
Education
- Grade 11 plus an additional vocational programme of up to one year, or Grade 12 graduation, or equivalent
Experience
- Over two years, up to and including three years current related experience, with emphasis on records management, compliance with legislation, and business information management and assessment
- Experience in working in a municipal Building department is an asset
Knowledge/Skills
- Proven ability to assess information
- Proven organization and time management
- Proven ability to multi-task is required
- Proven interpersonal and communication skills (both oral and written)
- Proven ability to work independently, or as part of a team
- Must be self-motivated
- Proven ability to use property-based software systems (such as CityView)
- Proven mathematical ability and understanding of municipal budget preparation
- Technology Aptitude
- The incumbent must possess a combination of introductory and intermediate level computer skills scored at 65% or higher for Outlook and at least one of Word / Excel / PowerPoint to ensure their
- Proven ability to apply essential functions of desktop software to create simple spreadsheets, documents,
- Send and receive emails,
- Use Internet for research,
- File management
- And/or require introductory to intermediate knowledge of department or division-specific software to accomplish job tasks (for example, CityView, GIS)
Responsibilities
The incumbent is responsible for, but not limited to:
Functional
- Administrative Duties
- Answer Building divisions main queue phone line and direct calls to appropriate staff, provide enhanced customer contact, enhancing the customer service and meeting County phone call response standard
- Monitor, respond or distribute e-mails for various divisional email inboxes maintaining County email response standard- caller reaches a person
- Back up Building Tech at Counter for customer inquires
- Receive and input inspection requests into inspection schedule
- Process Routine Disclosures
- Undertake various tasks and responsibilities to assist the Manager with daily activities in the division
- Provide clerical assistance to the Manager and to other staff in the division (when and as required)
- Assist with the development and maintenance of required databases using the Corporate and / or department/ division specific software programs (for example, CityView, GIS,)
- Process MPAC requests for Building files
- Assist with FOI data collection
- Undertake scanning of Building files as required
- Support Inspectors and officers with research on files
- Collect and organize monthly Building Inspector stats
- Assist with processing Bylaw charge back on clean-up charge back
- Assist to maintain Septic System database records
- Enhanced customer contact
- Meet County phone call response standards – caller reaches a person
- Meet County e-mails response standard
- Respond to inquiries from other departments, vendors, Ministries and consultants
- Provide assistance to Manager, Supervisor or Building Staff on special projects
- Provide back-up to other administration staff, when required, to ensure continuity of service.
- Perform other duties as directed / assigned
